Zoho One has introduced a new feature called Spaces, aimed at improving the user experience for businesses using its suite of productivity tools. The update is designed to provide a more intuitive and adaptive workspace that aligns with individual roles and preferences.
Spaces are divided into three main categories: Personal Space, Organization Space, and Functional Spaces. Personal Space includes daily productivity tools such as Mail, Calendar, Tasks, and WorkDrive. Organization Space focuses on collaboration platforms like Feeds, Forums, and Townhalls. Functional Spaces are tailored to specific departments such as Sales, Marketing, HR, and Finance. These role-based spaces appear only for relevant users to reduce clutter and make navigation easier.
The platform offers three navigation styles—Top Navigation for a minimalist interface, Side Navigation for those who prefer traditional layouts, and Compact Navigation for users focused on priority modules. Users can also customize their experience by promoting frequently used applications to the main navigation bar through the Tools panel.
A new feature called Boards groups related applications contextually. For example, Notes from different products appear together in both Notebook and Mail, while task modules across Zoho apps are grouped for easy access.
Other updates include Dashboard 2.0 for improved data visualization across multiple applications; QuickNav—a centralized search tool accessible via a keyboard shortcut; an Action Panel that consolidates tasks and approvals into one view; support for over 20 Zoho apps in the Planner section; Web Tab Integrations that allow third-party apps to be embedded within Zoho One; and Unified Status Availability so team members can see each other’s availability across all connected applications.
According to Zoho One’s announcement: “With Spaces, Zoho One hasn’t just updated its interface, it has fundamentally transformed how businesses experience their essential tools, creating a workspace that adapts to you, not the other way around.”
